Summary of 2.24.09 Graduation Meeting

 

1. Photographer Aaron Steele will be at rehearsal, Friday, May 8, at 6:00 p.m. $15 per student has already been set aside in the budget so that each family will be given one 5x7 of the graduate receiving their diploma and one 8x10 of the whole graduating class. These 2 photographs will be available for pick-up at CTC approximately 2 weeks after graduation.

Aaron will take additional pictures one hour before and one hour after the graduation ceremony, including candid shots as well as posed group pictures. All additional photos will be posted on his website aaronsteelephotography.com as well as packaging information and pricing.

2. Currently, there are no new graduating families. However, if a family joins after spring break, there will be an additional late fee added to the $165 family fee.

3. A motion was made by Lynn Gray to accept the proposed 2009 Graduation Budget and was seconded by Danette Goyer. Motion unanimously carried.

4. Photos for the video need to be turned in to Mr. Boyd no later than Wednesday, March 4, at 3:00 p.m.

5. Committee Reports:

  • Program –
    • The speaker for the graduation ceremony will be two-time, Olympian weight lifter, Shane Hammond. He currently works for Rachel’s Challenge in Columbine, Colorado, holding anti-violence programs. His speech will be more geared towards the graduates and will be 18-20 minutes in length.
    • Lindsey Thompson will be the student speaker
    • Andrea Grice will play a song she composed.
    • Decorations at graduation – balloon bouquets on stage to hide equipment that cannot be moved and flowers marking where seniors will stop in the processional.
    • The total graduation program will last no more than 2 ½ hours.
    • The program will only have enough room for the graduate’s first and last name. The name and spelling will be taken from the diploma list that each graduate’s family checked at the videotaping. Please e-mail Susan Grice by 2/28/09, susandgrice@yahoo.com if you want any name other than the name that was written on the diploma list.
    • Please remember that the students will not be sitting with their families and that each student will have a “family” pew up front which will seat 9 people. There is plenty of seating for all invited guests, but only 9 will be able to sit on the “family” pew.
  • Reception –
    • Each graduate’s family will need to bring 3 dozen homemade or bakery quality cookies on a nice-looking disposable tray for the graduation reception. A punch of white grape juice and 7-up will be used in the punch fountains.
    • Black table cloths will be used on the 8 foot tables, which will be located across from the sanctuary, and used for the graduate’s tables. Two students per 8 foot table.
    • Royal blue table cloths will be used on the ten round tables located in the café area. There will also be tables for the fountain area as well as the cookie area.
  • Services –
    • Your $165 should now be paid in full.
    • Please make sure that you have completed your task for your committee as the last meeting (April 28) will only be used to finalize last minute details.
  • Activities –
    • It was suggested that the graduates go to Incredible Pizza on Karaoke night. The date will be announced later.

6. Josten’s orders should be delivered before the next meeting. Susan will send out an e-mail to announce the delivery dates available. You are welcome to leave your order at CTC until the April meeting, but please remember that the gowns will need to be hung for a prolonged period to get rid of the wrinkles.

  • Ten families have not paid their Josten’s final payment. Please check with Susan to see if you are one of the ten.

7. Graduation Rehearsal will be Friday, May 8 from 6:00 to 8:00 p.m. at First Baptist Church, Broken Arrow, (100 West Albany) – map is on their website http://www.fbcba.org/

  • Setting up tables and chairs will be from 6:00-6:30 p.m.
  • Rehearsal will be 1-1 ½ hours in length
  • The last half hour will be for seniors to set up their table displays.
  • On graduation day, Saturday, May 9, the church doors will be open at 1:00 p.m. for set up as well as pictures.
  • At 3:00 p.m. the graduate group picture will be taken and last minute instructions given to graduates
  • Commencement exercises will begin at 4:00 p.m. on May 9, 2009.
