Summary of 10.28.08 Graduation Meeting

 

1. Yearbook Ad

  • Yearbook students presented information for families to purchase “personal ads” in the 2009 yearbook. Ad deadline is Nov. 4th.

2. Bob Howard passed out graduation packets and explained ordering.

  • Highlighted boxes are OPTIONAL packages.
  • Read instructions on back of form before filling out in BLACK or BLUE INK. Circles are to be colored in like on a test, and squares require a number.
  • Turn in orders to Bob Howard BEFORE NOV. 30 or bring to the next meeting at CTC on Nov. 18th. Orders placed after Dec. 1 will incur late fees. No orders will be accepted at CTC after Nov. 18.
  • Cap, gown and tassel are required to participate in the graduation ceremony.
    • Gowns are made to fit, so please list actual height and weight where indicated. You will be able to keep these items (they are not rented).
  • Any amount of announcements (in groups of 5) may be ordered. You are not limited to boxes of 25, 50 or 75. It was suggested that each family make a list of the people they would actually send announcements to before the order is placed. A limited supply of additional announcements can be purchased later, but it is not recommended.
  • A $60 deposit is due when the order is placed. Any order less than $60 need to be paid in full at the time order is placed.
  • Make all checks payable to JOSTENS. For credit card payment, enter information at the bottom of the order form.
  • State tax rate---8.517% (No tax on shipping and handling)
  • Rings ordered with cap and gown does not require an additional deposit.

3. Graduation colors will be voted on Nov. 18th ---red and gold or royal blue and silver

4. Announcement was chosen by majority vote

5. Verse will be voted on at the next meeting

  • Submit verse in writing (include verse and translation) by Nov. 18 to Susan Strelow

6. Basic Information

  • CTC facilitates the graduation but students are not graduating from CTC
  • Diplomas will be made out to your specifications (CTC’s name will not be listed on the diploma)
  • CTC does not keep records or provide transcripts
  • Families responsibilities:
    1. Attending every meeting at CTC (parents and students)
    2. Serving on committees
    3. Keep updated by checking the website for announcements and meeting summaries
  • Budget----Cost will be determined by the number of participants. Approx. $205 per family was predicted (payable in payments of $75)
  • Cost includes 2 photos, diploma, room rental, set-up, honorarium for speakers, roses for Moms, refreshments (partial or in full depending on funds available), paper goods, serving table decorations, copies for meetings, and video
  • Cap and gowns are required (additional item to purchase).
  • Other items NOT included: announcements, other photographs, memory book, and additional decorations

7. Obligation to attend meetings

  • At least one family member is REQUIRED to attend meetings on Nov. 18, Jan. 27, Feb. 24, and Apr. 28
  • Both parents and graduate are REQUIRED to attend the graduation rehearsal

8. Date and location

  • Graduation date has been publicized as Saturday, May 16, however, vote will be taken on Nov. 18
  • Several locations were nominated----families will report details on Nov. 18

9. Photographer was discussed to take group photos

  • Aaron Steele was the photographer last year and did a super job

10. Speakers

  • Finding a guest speaker and emcee will be the responsibility of the program committee
  • Students interested must submit a written speech by Jan. 27 to the program committee

11. Each family is REQUIRED to serve on one of the following committees

  • Program (lead rehearsal, program sequence, decorations, speakers, seating, flowers, secure/coordinate volunteers for program distribution)
  • Reception (reception room set up, food, decorations, student tables, secure/coordinate volunteers for serving and clean-up)
  • Service (take meeting notes, process Josten’s orders, coordinate video taping, collect photos, rehearse with parents for the audio taping, communicate with families without email capabilities)
  • Set-up/Clean-up (set up room #315 for each meeting at CTC and clean up church facility after graduation

12. Optional: Families interested in participating in the graduation were encouraged to fill out an application and attach the first payment of $75 tonight or Nov. 18

13. Next meeting will be November 18 at 6:30PM.

BRING:

  • Jostens order and $60 deposit to Jostens.
  • Application and $75 payment to CTC

AGENDA

  • Vote on verse, colors, location, date and time
  • Discuss video and audio taping
  • Budget updates
  • Establish committees
